This position is within the CDPQ Private Placements subsidiary.
Role Summary
The selected candidate will support various members of the Investment Funds and External Management – Private Markets teams in achieving business objectives. They will carry out assigned tasks across all areas of activity by optimally developing and using tools, providing high-quality information in a timely manner, and promoting collaboration and teamwork.
What You Will Do
- Provide administrative support, calendar management, and communications for senior team members by organizing meetings, managing scheduling conflicts (across multiple time zones), and ensuring necessary follow-ups in a dynamic environment
- Plan and organize business travel: approvals, bookings, and logistics
- Prepare and review expense reports and follow up as needed
- Coordinate document signatures via DocuSign and ensure proper follow-up
- Manage onboarding for new team members and support their integration
- Update the team’s travel calendar
- Organize team activities and events
- Handle invoicing, purchase requests, and optimize tools and processes related to billing
- Actively participate in the administrative assistants’ community and attend scheduled meetings to stay up to date on administrative and technological processes
- Support multiple team members and collaborate with a wide network of colleagues, including an internal network of assistants

What You Bring
- College or university diploma in administration (or a related field deemed equivalent)
- Minimum of ten (10) years of relevant experience
- An equivalent combination of education and experience will be considered
- Strong proficiency in Microsoft Office and knowledge of SharePoint
- Flexibility with work hours during peak periods
- Excellent command of French and English*, both spoken and written
*Includes oral and/or written interactions with external partners based outside Québec (e.g., service providers, law firms, peers, bankers, brokerage firms, credit analysis firms, rating agencies, etc.).
